Privacy Notice
This notice explains how Skin South Wales uses and protects your personal information when you buy or enquire about a Personalised Skin Plan.
Who is responsible for your information
Skin South Wales, operated by Keira Lewis, is the data controller. For privacy questions or requests, email skinsouthwales@gmail.com.
Information collected
Depending on how you use the service, this may include:
- your name, email address and purchase details;
- your skin concerns, goals, routine, preferences and budget;
- skin photographs that you choose to upload;
- health information relevant to safe skincare recommendations, including allergies, medication, pregnancy or breastfeeding, diagnosed skin conditions and recent treatments;
- messages, follow-up questions and video consultation notes; and
- your separate marketing preference.
Health information is special category personal data. Please provide only information that is relevant to your skin consultation.
Why the information is used
- to confirm your purchase and provide the plan you selected;
- to assess whether cosmetic skincare guidance is suitable;
- to prepare and explain personalised recommendations;
- to arrange a video call or follow-up where included;
- to manage payments, refunds, complaints and business records;
- to meet legal, tax and insurance obligations; and
- to send marketing emails only where you have separately opted in.
Lawful bases
Information needed to provide your purchased service is processed because it is necessary to perform the contract with you. Information needed for tax, accounting or other legal duties is processed to meet a legal obligation. Limited records may also be used where necessary for Skin South Wales' legitimate interests in running the business, preventing fraud and handling legal claims.
Relevant health information and skin photographs are processed with your explicit consent. You can withdraw that consent by email, but this will not affect processing that was lawful before withdrawal. If the information is necessary to assess your skin, withdrawing consent may mean the service cannot continue.
Marketing emails are based on your separate consent. You can unsubscribe at any time and this will not affect your skin plan.
Who information is shared with
Information is shared only where needed with trusted service providers, including Stripe for payments, Tally for consultation form submissions and the providers used for business email, secure storage and video calls. These providers process information under their own privacy terms and, where applicable, agreements with Skin South Wales. Information may also be disclosed to professional advisers, insurers, regulators or authorities where reasonably necessary or legally required. Personal information is not sold.
International transfers and security
Some service providers may process information outside the UK. Where this happens, Skin South Wales will rely on a lawful transfer mechanism and appropriate safeguards. Reasonable technical and organisational measures are used to protect information, but no internet service can be guaranteed completely secure.
How long information is kept
Consultation forms, photographs, plans and related correspondence are normally kept for up to seven years after the service is completed, where needed for insurance, legal and complaint-handling purposes. Payment and accounting records may be retained for the period required by tax law. Marketing records are kept until you unsubscribe or the information is no longer needed. Information is deleted or anonymised when it is no longer required.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to certain uses, receive a portable copy, and withdraw consent. Email Skin South Wales to make a request. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Updates
This notice may be updated when the service or suppliers change. The current version and date will always appear on this page.
